How do I import data from past clients?

Legacy Architects vision:

  • The ultimate vision with Legacy Architects is that you will be able to import data relating to past estate planning clients into your Legacy Architects app by way of a compatible CSV (Excel) file.

  • For each of your past clients, you will be able to instantly import data to create a contact record for them filled with all of their data from the estate plan you created for them in the past, and you will be able to optionally choose to invite the contact to access their contact record as well.

  • The most impactful reason you might take the time to compile all past clients' data into a compatible CSV file is if you plan to offer access to Legacy Architects as part of a client loyalty or maintenance program that your past client chooses to subscribe to for a fee.

  • Note that in our experience, we have never seen an estate planning attorney store all past client data and estate planning decisions in a single centralized location so expect that you will have to spend a good deal of time culling all past client data from multiple sources, such as intake forms, attorney notes, word documents that include client estate planning decisions, and even the legal documents themselves where some data or decisions may live that live nowhere else. There has never been a platform before that intentionally and intuitively houses all estate planning client data, or that does it well. In practically every case for any estate planning attorney reading this, you will have to spend time (perhaps hours or tens of hours or likely more) culling through multiple sources where this data lives and compiling all of it into one CSV file.

  • Assuming you will choose to spend the time doing this, you will be able to upload a compatible CSV file with as much client data as you may choose to include, and this will instantly create new contacts and pre-populate their contact record.

Upcoming features to support the vision (not yet released):

  • We will offer guidance on an efficient and expeditious way to compile your past client data from multiple sources into one CSV file. We may offer paid services to do the work for you.

  • Once you have a CSV file ready to go, you will be able to click an "Import" button, choose the compatible CSV file, and instantly create new contacts records with their data pre-populated.

Workaround:

  • For now, the best way to manage past client data is to keep it stored where it is.

  • If you are wanting to eliminate any crossover platforms you currently use that do some of what Legacy Architects does for you, our recommendation is to follow the steps in that platform to export all client data from their system, and hold onto that file.

  • You could also assign a virtual assistant to start going through other sources – in particular Word documents and Excel spreadsheets – to start compiling all data in those separate places into one CSV (Excel) file. As long as you are consistent in putting the same data in each column (meaning each contact/client should be dedicated their own row, and each field label such as First Name should be dedicated a column), then you are good to go.

  • Once we have an import process fully built out, the work you have done so far in compiling all past client data will put you ahead of the curve and able to import your past client data more quickly.
